In addition to one formal tutorial the tutors are also available on by booking appointment. And during the live sessions.

Online guidelines
In order for a smooth running of the class all students must ensure they have good internet connection as well as audio and video connection. Students should avoid contacting students without permission. All students must protect each other’s online safety this means; you must not share any details or discussions in public – online or offline. We cannot tolerate any intimation or online bullying in any form of the staff or the students.
No student is allowed to forward materials related to the course to anyone else. The online sessions will run online via zoom link, it will not be permitted to share the link with anyone not enrolled at the course. It will not be permitted for anyone to record the classes either by video or audio.

In order to make sure that assessment is fair to all candidates, we have appropriate candidate support system in place and to make appropriate arrangements to meet individual assessment needs. You can ensure that your own learning and assessment needs are being met by discussing your own needs/difficulties with your tutor, who can ensure that you receive the appropriate support at your centre.

Fee, payment options, Absence and cancellation

Fee Payment options:
Course fee must be paid up front. This is an online/long distance course and to avoid logistical problems we are not taking payment options. The full fee must be paid at the beginning. Once the fee is paid you are considered a student.
Payments can be made online using a credit or debit card, or by bank transfer.

Student Cancellation Policy (Fee Rules):
If you are contemplating cancelling your place or withdrawing from one of our courses, we hope that you will seek advice and guidance first. We can help you make an informed decision as well as present alternative options. Becoming a Licensed Islamic Professional Counsellor (LIPC) is a strenuous process, it is therefore important for students to remain steadfast. Our tutors and staff members are readily available to support and accommodate students to the best of our abilities.
Should you however wish to withdraw from one of our courses, you no part of the fees will be refunded.

Absence:
Any absence for the online sessions must be notified by the student to the administrator and course manager 5 days prior of each session unless it is emergency.
If however, you miss the live sessions you will be able to get access to the recordings only for your viewing once they are uploaded on our website. You will receive a password to the page. Please ensure the above rules are adhered to.

Intellectual property right
Any material shared, whether it be handouts, presentations etc – is part and parcel of the intellectual property which belongs to the organisers and institutions involved and may not be shared with anyone nor any organisation; it may not be used by anyone nor any organisation for their personal or organisational work.

Student Complaint Procedures

A First Stage: Local Informal Resolution.
1. Before raising a Complaint with the Administrations’, you should seek to resolve the matter locally with course tutors. If you are not sure to whom to address your concerns, your instructor, the course tutors, or course administrator, will be able to advise you.
2. An Informal Complaint must be raised by Appointment with your Course tutor. Any other avenues such as messaging services, social media platforms etc. through which the Complaint is made will not be considered.

B Second Stage: Formal Consideration by an Administrator.
1. If your Complaint is not successfully resolved locally, you can submit your Complaint for investigation by an Administrator.
2. You should complete and submit a Complaint Form to the Administrator’s Office (info@.....).
3. You should submit your Complaint Form as soon as possible and at the latest within 3 months of when the matters you are complaining about occurred.
4. The Administrations’ Office will ask for evidence that you have tried to resolve the matter locally under the First Stage and the Administrator may decline to consider your Complaint if you have not done so.
5. The Administrations’ Office will confirm receipt of your Complaint Form within 5 working days.
6. The Administrator may decline to consider your Complaint if it is trivial or repeats a Complaint that has already been made.
7. For all other Complaints, the Administrator body may take any steps the Administrator considers necessary to investigate, including calling on any person to provide specialist assistance.
8. The Administrations’ Office will usually send details of a Complaint to anyone who is the subject of it and give them up to 10 working days to respond.
9. The Administrator or a member of the Administrations’ Office may request a meeting with you or any other relevant party. Any party may also ask the Administrator’s Office for a meeting (this will be online for the online courses). Anyone present at such a meeting can inspect any minutes of that meeting on request.
10. When meeting with an Administrator or a member of the Administrations’ Office, a student may be accompanied by a staff member of the institute or another student, and a member of staff can be accompanied by another member of institute or institute staff.
11. The Administrations’ Office will keep you and anyone who is a subject of the Complaint informed of the progress of the investigation.
12. If you withdraw your Complaint at any time the Administrator may decide to continue the investigation if it is appropriate and fair to do so.
13. The Administrator will usually complete the investigation, make a decision and send you a decision letter within 30 working days of receipt of the Complaint Form. If the time limit is extended, the Administrations’ Office will keep you updated about the progress of the investigation.
14. The Administrations’ Office will also notify the outcome to anyone who is a subject of the Complaint and any Institute bodies that need to be made aware of it.
15. In the decision letter, the Administrator will explain what steps have been taken and set out the decision, including the reasons for the decision and any directions and/or
16. You will have reached the end of the Institute’s procedures and the decision letter will be a Completion of Procedures letter.

Student Disciplinary Measures

1. General Principles
1.1 The programme manager shall be ultimately responsible for maintaining discipline among students of the institute.
1.2 The programme manager may delegate powers under these procedures to another member of the senior staff member either generally or in respect of a particular case.
1.3 We take takes all incidents which could be described as Sexual, racial, physical or other harassment or bullying, or behaviour which causes fear or distress to others, or threatening, abusive, disorderly or unreasonable behaviour very seriously. Any reported incidents of this kind will be considered in accordance with the provisions of this procedure.
1.4 Our staff (tutors) at all levels have a part to play in assisting in the maintenance of student discipline. Most cases of a minor nature will normally be dealt with in the first instance by an individual member of staff, simply and quickly on an informal basis of counselling with regard to student behaviour or conduct.
1.5 If the member of staff considers that it is appropriate to give an oral warning then this will be recorded in writing.
1.6 The student will be informed, in advance, of the allegations and will be sent a copy of these procedures.
1.7 The student will be given, in advance, copies of any documents or other written evidence (such as witness statements) which will be considered at any hearing and the student will be required to supply copies of any such documents that they wish to be considered, together with details of any witnesses they may wish to call.
1.8 The student shall have the right to appear at any hearing set up to hear the case and to be accompanied at the hearing by a representative or fellow student at the approval of the organiser.
1.9 The student shall have the right to give evidence at the hearing and to question persons and evidence obtained and to call witnesses.
1.20 The student must withdraw from the room whilst the person or committee hearing the case reaches its decision.
1.21 The organiser has the power to proceed with a hearing in the student’s absence where they have been properly notified of the date and time and have not provided a good reason for non-attendance.
1.22 The organisations involved has the power to vary the time limits set out in these procedures, at its discretion.
1.23 A hearing may be adjourned at any time at the discretion of the person/committee hearing the case.
1.24 No-one involved in hearing disciplinary allegations will have prior involvement with the student. In the case of an appeal, the person(s) hearing the appeal will not have been involved at an earlier stage of the procedures.
1.25 The student will have the right to appeal against the finding of a disciplinary hearing and/or the penalty imposed.
1.26 The appeal will normally take the form of a review and not a re-hearing of the case, at the Institute’s discretion.
1.27 If, due to a disability, reasonable adjustments are required in order for the student to attend a hearing or committee, the student will be required to inform the Institute in advance, and we will aim to meet any individual requirements. The student must contact the Secretary of the appropriate hearing or committee at least 10 working days before the date of the hearing or committee meeting.

2. Criminal Proceedings
Where the alleged breach of discipline would also constitute a criminal offence if proved in a court of law, the institute shall have discretion to continue action under these procedures but such action may be deferred pending any police investigation or prosecution.

3. Procedures for dealing with cases of breaches of discipline
3.1 Any member of the institute, staff or student, or any other person who becomes aware of what he/she considers to be a breach of discipline by any student shall in the first instance report such a breach, in writing, to the administrative office.
3.2 The administrative office (or his/her nominee) shall make such enquiries as he/she shall deem necessary to confirm the facts reported and to determine the seriousness of the matter. S/he may take written statements from the student, any other person(s) involved and any witness (es).
3.3 In any instance where the administrator or Manager judges that a students continued presence may endanger other members of the student body or staff, he/she may suspend the student immediately and/or may require that they are not to enter all or part of the institute premises/where the course is being held. (for online they will be removed from the class)
3.5 The Manager must report the suspension promptly to the Supervisor.
3.6 The student will be informed in writing of the grounds for the suspension and will have the right to submit written representations to the administrator within 5 working days of the date of the suspension.
3.7 The Administrator will review the suspension and inform the student of his/her decision within 10 working days of the date of the suspension.
3.8 Upon completion of the enquiries under paragraph 3.3 above, the Institute Manager may take one of the following actions and inform the student, in writing of this, within 10 working days:
(a) Take no further action
       (b) Arrange a hearing which the student will be invited to attend
       (c) Refer the matter for consideration in accordance with an alternative procedure.
3.9 In the case of 3.8 (b) above the student will be given at least 10 working days notice, in writing, of the hearing date, and be informed of the allegations made against them and be sent copies of any statements collected as a result of the enquiries conducted under 3.3. The hearing may proceed in the student’s absence should the Manager be satisfied that the student has been suitably informed about the hearing and has not requested for the meeting to be rescheduled.
 3.10 The Manager shall appoint a secretary to the hearing.
 3.11 The Manager may then take one or more of the following measures, and inform the student in writing of the decision within 10 working days:
 (a) Take no further action
(b) Reprimand the student
(c) Require the student to give a written undertaking as to their future conduct within the Institute
(d) Require the student to pay compensation for any financial loss or damage to property resulting from the breach of discipline
(e) Require the student to pay a fine of up to £500 to the organisation
(f) Require the student to pay the direct costs of any damages
(g) Expulsion from the course
(h) Refer the matter to the police
(i) Defer the matter pending police investigation or proceedings
3.12 In the cases above, except criminal proceedings where the police is notified, the student has the opportunity to appeal.
 3.13 An appeal must be made, in writing, to admin office info@... giving the grounds within 10 working days of the date that the decision was notified to the student by the Manager.
3.17 The student will have the right to submit written representations and/or to attend the appeal hearing.
